Where we rely on legitimate interests, we consider whether our interests are overridden by the rights and freedoms of the individual.

B2B marketing and prospecting

Client campaign data

Where we process personal data on behalf of a client, we process that data only for the purpose of delivering the agreed services and in accordance with the relevant contract and, where applicable, a Data Processing Agreement.

We do not sell client-provided personal data, use it for unrelated campaigns, or use it to train AI models.

AI-enabled tools

We may use AI-enabled tools to support internal productivity, research, drafting, note preparation, quality assurance, campaign analysis and administration.

We do not use AI voice agents, synthetic voices or prerecorded/automated voice calls for outbound prospecting unless expressly agreed with a client.

We do not use client-provided personal data to train AI models.

Ask AP with Lumos

When you submit a question to Ask AP with Lumos, the question is sent through Accelerate Pipeline’s server to OpenAI’s API to generate a response. The Ask AP application does not write the question or response to a customer database or application request log. Requests are configured with store: false, which disables application-state storage for the response; it is not a claim of Zero Data Retention.

OpenAI states that API inputs and outputs are not used to train its models by default unless an organisation explicitly opts in. OpenAI also states that its standard abuse-monitoring logs may contain prompts and responses and are retained for up to 30 days, or longer where required by law or reasonably necessary to protect its services or a third party from harm. See OpenAI’s data controls.

We use a pseudonymous network-derived safety identifier and short-lived in-memory counters to prevent abuse. Do not include confidential, special category or client campaign data in a public question.

Sharing personal data

We may share personal data with:

Where vendors process personal data on our behalf, we use appropriate contractual and security safeguards.

International transfers

Some of our software providers or service providers may process personal data outside the UK. Where this occurs, we rely on appropriate safeguards such as adequacy decisions, standard contractual clauses, UK international data transfer mechanisms, or equivalent protections required by applicable data protection law.

Retention

We keep personal data only for as long as reasonably necessary for the purposes described in this Privacy Notice, including service delivery, business administration, legal, accounting, audit and dispute-resolution purposes.

Campaign data is reviewed periodically and may be deleted, archived or anonymised when no longer required.
